Sync with HubSpot, Pipedrive or Salesforce

Turn on automatic sync so contacts, replies, deals and meetings reach your CRM by themselves.

Updated 20 October 2026

Once your CRM is connected, Outly can keep it up to date for you. Sync is one-way, from Outly to the CRM, and it is off until you turn it on for each CRM.

  1. Connect HubSpot, Pipedrive or Salesforce from Integrations.
  2. Open its settings page from the same screen and, under Automatic sync, switch on Sync automatically.
  3. Choose when leads become contacts with Sync leads: Only when they reply (the default) or When added to a campaign.
  4. Pick what else to log: Log replies, Log sent emails, Create a deal for interested replies (Salesforce calls it an opportunity) and Log booked meetings.
  5. If deals are on, choose the pipeline and stage new deals go into, or leave the defaults to use your CRM's default pipeline and its first stage.

What gets synced

  1. Contacts: found by email first, so an existing contact is linked rather than duplicated. The lead's company is added as a company (HubSpot), account (Salesforce) or organization (Pipedrive). Fields on a contact that already exists are never overwritten.
  2. Replies: each reply is added to the contact with the AI's label, such as Interested or Question. HubSpot and Pipedrive get a note; Salesforce gets a completed task.
  3. Deals: when a reply is labelled Interested or Meeting Request, one deal is opened for that lead and campaign. A question never opens a deal.
  4. Meetings: meetings booked in Outly are added as a meeting (HubSpot), an event (Salesforce) or a meeting activity (Pipedrive).
  5. Sent emails (off by default): each campaign email is added to the contact. With Only when they reply, this starts once the lead replies, and their earlier emails are added then.

Tip

Only when they reply keeps your CRM free of the many cold prospects who never answer. Choose When added to a campaign if you want every lead in an active campaign in the CRM.

Timing, errors and reconnecting

Sync runs in the background every few minutes, so a slow CRM never holds up your campaigns. The settings page shows the last sync and the 10 most recent sync jobs. If your CRM is busy or briefly down, Outly tries again later by itself; anything that still fails is listed, and Retry failed queues it again.

Good to know

If your CRM stops accepting Outly's access (for example the token was revoked), sync pauses and the CRM shows as not connected. Nothing is lost: reconnect it from Integrations and the queued work carries on.

Nothing comes back from the CRM: changing a deal or contact there does not change Outly. Turning automatic sync off drops anything still queued.
